Export Document Control for Hijab Shipments: Commercial Invoice, Packing List, and Traceability
- Commercial documents should use the same SKU, fiber, quantity, carton, and origin information as the approved production file.
- Inconsistent weights or descriptions can cause customs questions even when the goods themselves are compliant.
- A document-control checklist reduces delays between factory release, freight booking, and buyer receiving.
Export documentation is part of product quality because a compliant shipment can still be delayed when the commercial invoice, packing list, and shipping instruction do not agree.
1. Align the master data
Use one controlled SKU list for product name, fiber composition, quantity, unit value, country of origin, carton count, net weight, gross weight, and volume. The same data should flow into the invoice, packing list, carton marks, and booking instruction.
2. Attach supporting evidence
Keep the approved purchase order, packing record, certificate of origin, test reports, and inspection report together with the shipment file. Where a buyer's broker requires a particular description or classification, obtain written confirmation before document release.
3. Release only after reconciliation
Before handover, compare the final carton count and weights against the packing list and compare the product description against the buyer's customs instruction. QIUYAN's export team can prepare a shipment document pack for buyer and forwarder review.
